FROM ADD TO APPROVED

A simpler rhythm for document admin.

Keep your team’s records moving, with a clear next step for you and your subcontractors.

01

Bring your existing list

Add subcontractors one at a time or upload a CSV exported from Excel. Review missing fields and duplicates, then import the valid rows. Start with names, emails and trades.

02

Decide what you need

Assign document types to each subcontractor. Choose whether a requirement is mandatory and whether it needs an expiry date. These are your administrative criteria; requirements depend on the work being carried out.

03

Send a secure request

Create an expiring upload link for the contact and selected requirements. They can upload PDF, JPG or PNG files from their phone without creating an account.

04

Give every upload a proper review

Check the file and recorded details, then approve or reject with a reason. Uploads begin as pending review. Replacement versions preserve the history.

05

Keep an eye on what’s next

Use the dashboard to see missing, expiring and expired records. Configure reminders, pause them when needed and export a report for your team.

You make the decisions. An approved document means a reviewer accepted the recorded information against your organisation’s criteria. It does not establish legal compliance or authenticity.
